Smart Reorder Suggestions

Knowledge ERP watches how your stock actually moves and suggests what to reorder, and how much — before you run out. Suggestions are advisory: they never change your stock or place orders on their own. You stay in control of your own min/max levels and decide what to act on.

Two methods, side by side #

Every suggestion is produced two ways so you can compare them:

• Usage & lead time — a transparent baseline. It averages real demand (sales, units used, materials consumed, and net check-outs) over a trailing window, multiplies by the vendor SKU's lead time, and adds your safety stock.
• Demand forecast — an on-server statistical forecast (Holt's exponential smoothing) that's trend-aware: if demand is climbing week over week, it projects that forward. No external service and no data leaves your server.

Both round up to vendor pack sizes and respect minimum order quantities, and both show a projected stock-out date.

The two methods will agree exactly whenever the Product has a Max Amount, and that is not a fault. A maximum makes the order an order-up-to: enough to reach the ceiling from where you are now, which does not depend on how demand was estimated. The methods diverge on usage per day, the reorder point and the projected stock-out date, and on the suggested quantity only for Products with no maximum set. Each column says which level it is filling to, so an agreement reads as an agreement rather than a duplicated number.

Where suggestions show up #

• Reorder Queue — the deterministic suggestion pre-fills the purchase order quantity, with the forecast shown alongside as a comparison column. The queue shows the Min and Max the suggestion sits between, and each suggested quantity carries a line naming the level it fills to — tops up to the maximum of 50, or tops up to 23, 14 days of cover after a 7-day lead time. Without that, a minimum of 5 producing an order of 49 reads as a bug.
• Low Stock Report — the same rows as a plain shortfall summary: what is short, by how much, and what is already on order. It is the version you schedule and email; the Reorder Queue is the one you act on, and both can be exported to CSV.
• Digest email — a summary of what's suggested, emailed on the schedule each recipient chooses (see below).
• Proactive low-stock automation — fires when a unit is projected to run out within its lead time, not just when it drops below a static minimum.

Subscribing to the digest #

The reorder digest is opt-in per person. Open Reorder Digest under Account Administration to manage your own subscription:

• On/off — turn the email on or off for yourself.
• Days — pick which days of the week to receive it (e.g. weekdays only).
• Send time — choose the hour, delivered in your timezone, so the digest lands when your day starts wherever you are.

Each subscriber gets their own copy, so different people on the same account can receive the digest on their own cadence — or not at all.

Reading a suggestion #

Each suggestion explains itself: the average daily usage it assumed, the lead time, the resulting reorder point, the on-hand + on-order position it compared against, and the order-up-to level the quantity is measured back from. If the numbers look off, adjust the unit's reorder settings — the suggestion updates accordingly.

When you raise a purchase order from the queue, the modal offers both readings of "how many":

• Cover the shortfall — just enough to get back above the Min.
• Fill to the maximum — up to the Max, which is what the Product's own configuration asks for and what the modal opens on.

The choice only appears when the two figures differ and a Max is set. One angle grinder on the shelf against a Min of 5 and a Max of 50 is 4 by the first reading and 49 by the second — both correct, for different questions.
