Quick Start

A step-by-step path to get a new account set up and transacting — from plan and team to catalog, customers, and your first orders.

New to Knowledge ERP? Follow this path top to bottom and you'll be running real work in well under an hour. Each step links to the full guide if you want detail.

1. Confirm your email address #

When you sign up we send a link to the address you gave us, and the first screen you see asks you to open it. Until you do, the rest of the app — including the plan page — is not available.

If it has not arrived, look in your spam folder. The same screen has your address in a box: press Send a new link to try again, or correct it first if it is wrong, and the new link goes to the corrected address. Correcting it also changes the address your receipts go to, and stops any earlier link working.

A link is good for 60 minutes. Opening an older one takes you back to this step, where you can send a new one.

Open the link in the same browser you signed up in. If you open it somewhere else, sign in first and you will be taken to it.

Already have a login from before? Nothing changes for you. The same goes for anyone you invite: accepting an invitation is opening a link we sent to their address, so they are not asked again.

2. Set up your plan #

Pick your tier and turn on the modules you need (Inventory, Sales, Appointments, Surveys). You can enable more later — a feature gated behind a module you don't have will tell you. See Account & Billing.

3. Invite your team #

Add users and assign roles so everyone has the right access. If people work at specific locations, use location-scoped roles. See Users, Roles & Permissions.

4. Create your locations #

Set up the locations (and bins) where stock lives — warehouses, rooms, vehicles. Everything in inventory hangs off a location, so do this before adding stock. See Inventory Management.

5. Add your products #

Stock is set up in two steps: a Product is the thing you stock or sell; a Unit is one tracked item of it.

  1. Add your Products — one per kind of thing you stock ("Cordless Drill, 18V"). Choose each one's usage type — Consumable (sold or drawn down) or Returnable (reusable equipment you check out, loan, or rent) — set the price, the Amount + Unit of Measure, and any custom fields you need. Barcodes are generated automatically for fast scanning.
  2. Then create the Units — the actual drills on the shelf. Each one gets its own location, bin, and status, and inherits its name, price, and usage type from the Product. Use quantity to create to add several identical Units at once.

6. Add your customers #

Create your customers and contacts. The customer directory is shared across modules, so you can do this with just Inventory — no Sales module required.

7. Start transacting #

Once records exist, the search box at the top of every page is the fastest way back to one — by customer or vendor name, by document number, or by email. See Finding Records.
